As a Senior Executive Assistant in Cybersecurity and Technology Controls (CTC), you will need to work well in a team environment, be able to represent the manager/group with professional courtesy and acumen, and deliver flawless work output. This role supports the Managing Director and Global Head of Regional Information Security & Supervisory Engagement (RIS&SE) organization and its Global Technology Regulatory Exam Management team in the U.S. which facilitates technology focused regulatory examinations and regulatory engagements. You will interface with banking and securities regulators, including the OCC, FRB, FDIC, SEC, FINRA, CME, NFA, and State regulators. Your daily routine includes interaction with various executive level internal colleagues in Global Technology and across the Lines of Business and Corporate Functions. You will interact with examiners at the regulatory agencies to schedule meetings with the firm. You will need to adapt procedures, processes and techniques to complete assignments in line with the department's activities and goals. You will work as a team with the CTC Senior Executive Assistants to support CTC leadership, as required.
Job responsibilities
Maintain complex and detailed calendars. Work with Global Technology leadership, CTC administrative assistants, and RIS&SE personnel to schedule internal and external meetings. Work with regulators (by email and phone) to schedule external meetings
Screen incoming calls and invitations to determine the level of priority, while using caution in dispensing information
Manage the coordination and logistics of both internal and external meetings, including reserving rooms and printing of meeting materials
Arrange and coordinate complicated domestic and international travel
Organize all aspects of internal and external events, including catering and transportation and guest support.
Process invoices and T&E expense claims for team members, ensuring all policies are followed and items are processed within provided guidelines
Assist with staff on-boarding and off-boarding, which includes requesting equipment setup and system access
Produce high quality emails and messages to individuals at all levels of the organization
Maintain department documents, including current organizational charts and Executive Bio's
Handle regular activities without prompting, and advise in advance with issues or delays
Assist in editing spreadsheets and presentations, including printing and binding, for client meetings
Required qualifications, capabilities and skills
At least 7+ years supporting C-suite or Managing Director-level executives
Advanced ability to organize
Experience supporting or coordinating projects, events, or initiatives across regions.
Demonstrated ability to handle sensitive information with the utmost discretion.
Discretion and good judgment in confidential situations, and proven experience interacting with senior management.
Anticipates needs, solves problems independently, and adapts to changing priorities.
Strong interpersonal, written, and oral communication skills. Ability to interact confidently with senior leaders, clients, and global teams.
Strong proficiency in Microsoft Office( Outlook, PowerPoint, Excel, Word, Teams), Virtual Collaboration Tools (Zoom, SharePoint), Concur for travel/expenses, and other enterprise platforms.
Excellent telephone and email etiquette and ability to manage competing priorities i.e. calendar management
Global Coordination Skills: Proven ability to coordinate meetings, travel, and communications across multiple global time zones.
Experience working with diverse teams and understanding of cultural nuances in Asia-Pacific, Europe, Latin America, and the US.
Preferred qualifications, capabilities and skills
Experience supporting at the Managing Director level (or equivalent), preferably in a global financial services or large multinational environment.
College degree is a plus
Familiarity with JPMC Systems: Knowledge of internal tools, compliance requirements, and corporate policies is highly desirable.
Note: This role requires five days in the office (Mon-Fri) and will not support Hybrid options.
